1. About this service

Aequus Archery (“we”, “us”, “our”) provides an online booking platform that allows individuals to discover and book archery sessions and courses offered by independent archery clubs. By accessing or using this platform you agree to these Terms of Service. If you do not agree, please do not use the platform.

The individual archery club is the provider of the session you book. Aequus Archery facilitates the booking and payment process but is not itself the session organiser unless explicitly stated.

2. Eligibility

You must be at least 18 years old to make a booking on this platform. If you are booking on behalf of a junior participant (under 18 years of age), you confirm that you are the participant’s parent or legal guardian and that you consent to their participation and to the collection of their personal data as described in our Privacy Policy.

3. Bookings

A booking is confirmed once you have completed checkout and payment has been successfully processed. You will receive a confirmation email to the address provided. Session places are allocated on a first-come, first-served basis; completing the booking form does not guarantee a place until payment is confirmed.

You are responsible for ensuring that the participant details you provide (including date of birth and physical measurements) are accurate. Inaccurate information may affect equipment sizing and session grouping.

4. Cancellation and refunds

Aequus Archery does not manage, mediate, or process refunds. All cancellations and refund requests are handled directly between you and the club that is running the session.

Each club sets its own cancellation and refund policy. The club’s contact email is displayed on the booking page and in your confirmation email. If you need to cancel or request a refund, please contact the club directly.

Aequus Archery is not a party to any refund dispute between you and a club. We accept no liability for a club’s refund decisions or the timeliness of any refund.

5. Payment

All payments are processed securely by Stripe, Inc. Your card details are entered directly on Stripe’s hosted checkout page and are never transmitted to or stored on Aequus Archery servers. Prices displayed are inclusive of any applicable taxes and are stated in pounds sterling (GBP).

Pricing may differ between adult and junior (under 18) participants. The price applied is determined by the participant’s date of birth relative to the session date.

6. Age requirements and junior participants

Some sessions may have minimum or maximum age requirements set by the hosting club. Where a session is open to junior participants (under 18), the lead booker must be an adult (18 or over) who is the parent or legal guardian of each junior participant. By completing a booking that includes a junior, you confirm that you hold the appropriate parental or guardian authority to consent on their behalf.

7. Health and safety

Archery is a physical activity. By booking a session you confirm that all participants are in a suitable physical condition to take part. You agree to follow all safety instructions given by club coaches and staff during the session. Aequus Archery accepts no liability for injury sustained as a result of failure to follow safety instructions.

8. Limitation of liability

To the fullest extent permitted by applicable law, Aequus Archery is not liable for:

  • Any indirect, incidental, or consequential loss arising from your use of the platform.
  • Loss or damage caused by events outside our reasonable control (including but not limited to venue closures, extreme weather, or force majeure).
  • The acts or omissions of the archery club running the session you have booked.

Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.

9. Data and privacy

By making a booking you consent to us collecting and processing your personal data as described in our Privacy Policy. We will not share your data with third parties except as described in that policy.

10. Modifications to these terms

We reserve the right to modify these Terms of Service at any time. Changes take effect when posted on this page. Continued use of the platform after changes are posted constitutes acceptance of the revised terms. We will update the “Last updated” date at the top of this page when changes are made.

11. Governing law

These Terms of Service are governed by the laws of England and Wales. Any disputes arising under these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Terms for Clubs

The following sections apply to archery clubs that register on the Aequus Archery platform to offer sessions and courses.

12. Payment collection and payouts

When a customer books a session with your club through Aequus Archery, payment is collected by Aequus Archery via Stripe on your behalf. Aequus Archery holds these funds and pays them out to your club on a monthly basis.

A platform fee of 2% is deducted from each booking before the payout is calculated. For example, on a £90 booking, the platform fee is £1.80 and your club receives £88.20. This fee covers payment processing, platform hosting, and ongoing development.

Payouts are generated on the 1st of each month for the previous month’s confirmed bookings. Funds are transferred manually to the bank account you provide in your club settings. You are responsible for ensuring your bank details are accurate and up to date. We are not liable for delays or failed transfers caused by incorrect bank details.

Stripe’s own processing fees (currently 1.4% + 20p per transaction for UK cards) are paid by Aequus Archery out of the platform fee, not charged additionally to your club.

13. Your club’s data

When customers book sessions with your club, their personal data (names, email addresses, phone numbers, dates of birth, and physical measurements) is stored by Aequus Archery on your behalf. Under UK GDPR, your club is the data controller and Aequus Archery is the data processor for this information.

You are responsible for having a lawful basis to collect and process participant data through the platform. We process this data only for the purpose of providing the booking and club management service.

14. Platform suspension

We reserve the right to suspend or deactivate a club’s account if the club breaches these terms, receives repeated customer complaints, or uses the platform in a way that could harm other users or the platform’s reputation. We will make reasonable efforts to contact the club before taking action, except in urgent cases.

Any confirmed bookings and outstanding payouts at the time of suspension will be honoured. If sessions cannot proceed due to suspension, affected customers should contact the club directly regarding cancellation and any refund.

15. Platform status and continuity

Aequus Archery is an independently developed platform, currently built and maintained by a sole developer. While we are committed to the long-term operation and improvement of the platform, there is currently no team or formal succession plan in place.

In the unlikely event that the platform ceases operation, we will make reasonable efforts to provide advance notice and ensure that any outstanding funds owed to clubs are paid out. We do not guarantee uninterrupted service or any specific uptime.

The platform is provided “as is”. We do not make any warranties, express or implied, regarding the availability, reliability, or fitness for a particular purpose of the service.

16. Cancellations and refunds (clubs)

Your club is solely responsible for its own cancellation and refund policy. Aequus Archery does not process refunds on behalf of clubs. If a customer contacts us regarding a refund, we will direct them to your club.

If your club cancels a session, you are responsible for notifying affected customers and arranging any refunds directly. We recommend maintaining a clear cancellation policy and making it available to customers before they book.
